We are looking for an Administrative/Office Assistant to join our team.

This is a vital role within a small team who run a charity lottery raising funds for two local hospices caring for both adults and children.

This is a full-time role (35 hours per week) and the successful candidate will be office based. There will be the option to discuss some flexible working from home after an initial training/settling in period

The role in based in our Farnham office, in close proximity to Farnham Train Station and free parking is available within a short walk.

Position Overview

We are seeking a detail-oriented and organised Administrative/Office Assistant to join our team. The successful candidate will play a vital role in ensuring the smooth operation of our office by primarily providing administrative support with and alongside our Administration Manager, but also providing assistance with other aspects of the running of the organisation, such as liaising with our bookkeepers, providing customer service to our members, updating our CRM, providing support to our Marketing Manager and assisting in daily office tasks.

This is an excellent opportunity for someone who wants to help in raising funds for two hospices and would like to work in an office environment which is friendly and collaborative whilst also being focused on delivering our vital work.

Key Responsibilities

  • Provide administrative support to ensure efficient operation of the office.
  • Handle incoming calls, emails, and correspondence, directing them to the appropriate staff members as required or dealing with them directly.
  • Maintaining the Lottery CRM ensuring that information is accurate and up-to-date at all times. Including daily data input and updates.
  • Assisting with the weekly draw including printing and distribution of winners’ cheques.
  • Assist in the preparation of reports, presentations, and other documents.
  • Maintain and update filing systems, both electronic and physical.
  • Perform general clerical duties, including photocopying and scanning.
  • Perform quality spot-check calls with our new members.
  • Assist in managing all methods of lottery player payments (direct debit, standing order, cheque, card and cash) ensuring maximum possible payment efficiency.
  • Ensure excellent customer service with regards to written and verbal communication to lottery players and prospective players.
  • Analysis and update spreadsheets.
  • Liaise with lottery cash collectors to collect payment results.
  • Input data into online marketing systems.
  • Liaise with lottery fundraisers with regard to recruiting new lottery members.
  • Providing timely information when needed to our bookkeepers.
  • Keep and maintain an inventory of printed materials.
  • Manage incoming and outgoing post.
  • Any other duties that may arise from time to time.

 

Qualifications

  • Proven experience in an administrative role.
  • Proficiency in Microsoft Office Suite.
  • Experience with CRM systems.
  • Excellent spoken and written English and grammar.
  • Excellent communication and interpersonal skills.
  • Excellent multitasking skills and be able to switch focus between business functions.
  • Strong organizational and time-management abilities.
  • Ability to prioritise tasks and work independently with minimal supervision.
  • Attention to detail and accuracy in work.
  • Discretion and confidentiality when handling sensitive information.
  • A positive attitude, willingness to learn and take on new challenges.
  • A good team player with a willingness to take on new responsibilities as required.
